Creating Bulk Projects for Business Entity Organizers
This article explains how to configure a business return checklist template, create projects for business entities in bulk, and prepare them for document request emails.
Overview
Business entity tax return projects use a standardized checklist rather than AI-generated document requests. Since most business entities require the same information each tax season, you can create a reusable checklist template and use it to bulk-create projects for multiple entities.
Before You Begin
Before creating business entity tax return projects, ensure that:
- Business entities have already been added to the system.
- A Business Return checklist template exists (or you have permission to create one).
- You know which entity type (for example, S Corporations or LLCs) you want to create projects for.
Step 1: Open the Checklist Templates
Navigate to:
Templates → Checklist Templates
This is where you manage the reusable checklist that will be assigned to your business tax return projects.
Step 2: Review or Create a Business Return Checklist
Most firms already have a Business Return checklist template available.
If you don't see one:
- Create a new checklist template.
- Or contact your administrator to have one added.
Review the checklist and confirm it includes the documents you typically request from business clients, such as:
- Trial Balance
- Profit & Loss Statement
- Balance Sheet
- Supporting tax documentation
You can also:
- Add new checklist items.
- Edit existing items.
- Remove unnecessary items.
- Rearrange the checklist order.
Step 3: Add a Business Tax Questionnaire (Optional)
If additional information is required from your clients:
- Add the Business Tax Questionnaire to the checklist.
- Move it to the top (or another preferred position).
- Save the checklist template.
This questionnaire helps collect additional business tax information before preparing the return.
Step 4: Open the Entities Page
Navigate to Entities.
Filter the list to display the type of business entities you want to process.
Examples include:
- S Corporations
- LLCs
Tip: Create projects for one entity type at a time so you can easily assign and filter projects using entity-specific tags.
Step 5: Select Business Entities
Select the business entities that need tax return projects.
Click Bulk Create Projects.
Although the demonstration selects only one or two entities, the same process can be used to create projects for many business clients at once.
Step 6: Configure the Project
Complete the project settings.
Project Name
Enter a descriptive project name.
Example:
1120S for 2024
Enable the option to prefix the project with the business name.
Example:
Acme Anvils – 1120S for 2024
Checklist Template
Select your Business Return checklist template.
Project Tag
Assign an appropriate tag, such as:
- 1120S
- LLC
- S Corporation
Project tags make it easy to locate, organize, and filter projects later.
Step 7: Create the Projects
Click Create.
The system creates a project for each selected business entity using:
- The configured project name
- The selected checklist template
- The assigned project tag
Step 8: Send Document Request Emails
Once the projects have been created:
- Return to the project list.
- Filter projects using the tag you assigned (for example, 1120S).
- Select the projects you want to send.
- Click Schedule Email to send document request emails to your business clients.
Expected Result
After completing these steps:
- A standardized business return checklist is assigned to each selected business entity.
- Projects are created in bulk, saving time during tax season.
- Projects are tagged for easier organization and filtering.
- Document request emails can be scheduled and sent to multiple business clients.
- Business clients receive a consistent and efficient document request experience.
