Scheduling Your Tax Invite Email

Once your projects are set up, the next step is scheduling your "Tax Season is Here" email to go out in January. Here's how to do it, step by step!

📧 Set Up Your Template Email

Before scheduling anything, make sure your template email is set up the way you want it.

  • Go to the Profile Menu → Templates → Email Templates

  • Look for the template called "Tax Season Is Here, Your Personal Checklist" — this comes standard with your account.

    • If you don't see it (for example, if you're a long-time account holder and it was never added), reach out to your Truss Tribe contact!

  • Update the Year in the template so it reflects the correct tax season.

  • Review and edit the content of the email as needed — you can change anything about it!

  • Save the template.

🔻 Filter and Select Your Clients

Head back to the homepage to start scheduling the send.

  • Filter your client list — in this example, filtering to 1040 clients
  • Click Select All to select the filtered group

🕝 Schedule the Message

  • Click Actions
  • Choose Schedule Message (the 4th option down)
  • Select the send date and time — e.g., January 7th at 9:00 AM

📤 Choose the Sending Account

  • Select which account the email should be sent from — this could be an admin account, a partner, or the owner's account

⚠️ Critical: Whatever account you choose must have its email integrated with the platform. Do not send from a no-reply@gettrust.email address — your deliverability and client response rates will suffer significantly compared to sending from an actual integrated email address. You can integrate your email in the menu at the top.

🗃️ Insert the Template

  • Highlight the placeholder text in the message body to replace it
  • Select your saved template — it will auto-fill all the content
  • Once everything looks right, click Schedule Send

✏️ Editing a Scheduled Message Later

Need to make a change after scheduling? No problem, as long as it's before the email sends:

  • Go to the menu → Scheduled Messages
  • Find and open the scheduled email to edit it
  • You can update the date, sending account, recipients, or any content

📩 Send Yourself a Test

  • From the scheduled message page, click Send Test
  • You'll receive a test email showing how it will look to clients
  • Note: the link inside the test email will be disabled, but everything else will display as it would for recipients
