Using the Email Signature Upload Link

How to add the email signature, and how receiving the files works for the firm.

✨ How It Works

You place a secure upload link in your email signature. You can check out our articles on how to do so here:

When you're communicating with a client — for example, asking a prospective client to share their prior tax returns — you can reference the link directly in your message. The client simply clicks it and is taken to a white-labeled upload page in their browser.

😎 Client Experience

For direct steps, please visit our article on Using the Upload Link in our Client Experience guides to see how the client initiates this process.

🗃️ Your Experience

After the client uploads, you'll receive an email notification letting you know new files have arrived and which email address they came from. Clicking the link takes you directly to your Action Items inbox at the top of Truss.

If you are already inside the program, the notifications icon will display new items for review.

📂 Organizing Incoming Files

When you open the file in your inbox, Trust will handle it one of three ways depending on whether the client already exists in your system:

Existing client with a matching project

Trust's AI will attempt to pair the uploaded file with the most relevant existing project. If the suggestion looks right, simply confirm and move the file into that project. It will be organized there automatically.

Existing client without a matching project

You can create a new project name and task directly from the inbox to get organized right away.

Brand new contact

If the email address isn't recognized in Trust, you'll be prompted to add a new contact first, which you can then use to create a project.

No project needed

If the document doesn't need to be tied to a project, you can leave it in the inbox as-is. It won't be organized into a project, but that's perfectly fine for one-off or miscellaneous files.

 Reviewing Uploaded Files

Once a file has been moved into a project, you can open the project to view it and confirm that you received what you expected. Files are accessible directly from the project view!
