Delivering Completed Returns to Clients

The Send Returns feature handles the entire return delivery process in one flow — including e-signatures, K-1 distribution, invoice delivery, payment collection, and estimated payment instructions.

🔼 Access the Upload Your Returns Section

  1. Click on Send Returns

📂 Upload the Return

  1. Click Upload PDF and upload your completed return as a PDF.

  2. If your print program prints multiple PDF files for a single return, toggle Single Return, Multiple Files before uploading.
  3. Browse or drag and drop the return files here.

A few things to keep in mind:

  • You can upload multiple returns at once — each PDF will be treated as a separate return by default
  • If a single return spans multiple PDF files, check the box marked Single return with multiple files before uploading to ensure they're combined correctly

Once uploaded, AI will scan the document to identify its components. This typically takes around 60 seconds.

🔗 Connect to an Existing Project

Link the return to the client's existing project in Truss. This ensures the client uses the same link they've used throughout the engagement—for uploading documents, receiving their return, e-signing, and everything else.

After the upload is complete and the status is Ready to Send, click on the Return to open it.

🖱️ Select the Project

  1. You can add the return to an existing Project by searching, or you can enter the name of a new Project to create a brand-new one for the return.
  2. You can also add an Entity to attach to the return, either by searching for an existing one or creating it during this process. This search will also work for an Entity's Client ID.
  3. You can define the Entity type through one of the common selections or through the drop-down.
  4. Once done, click Next.

👥 Choose Recipients

  1. You can search for or enter the client's information to connect them to the return. If you attached an existing Entity in the previous step, they'll be listed in #2 below.
  2. After you finish entering the recipient's data, click Add Recipient.
  3. All recipients will be listed here. You can click the trash can icon to remove any, or the 🔃arrows to change the order.
  4. If you want an ERO to sign manually, add them as a Recipient, make sure they are listed last, then click Last contact is ERO.
  5. Once all recipients have been added, click Next.

👀 Review the Tasks Created by AI

After scanning the return, AI will automatically identify and create tasks for each component it finds. Review these to confirm everything looks right before sending. Components may include:

  • E-signature request – AI identifies the pages that require a signature and sets up the e-sign task. In many cases, AI handles signature placement automatically. You can add or adjust pages manually if anything was missed or if you need additional initials.
  • K-1s – If the return includes K-1s, AI compiles all federal, state, and supplemental pages into one PDF per shareholder, making it easy for the client to download and distribute them.
  • Estimated payment vouchers – AI determines whether payments are set up for automatic withdrawal, pay-by-mail, or pay-online, and generates detailed instructions specific to the client's situation. Automated reminders will be sent to the client at the appropriate times of year (June, September, and January) to prompt payment.
  • Invoice – If an invoice is included in the PDF, AI will extract it and attach it as its own task along with payment instructions.

Once you've reviewed and confirmed everything looks correct, proceed to the next step.

✏️ Edit the E-Signature Fields

If your Return has signature documents that we detect, we will take you to the e-signature build step to add client signatures. You can learn more about how to build an e-sign request in our Requesting e-Signatures article.

📧 Send the Delivery Email

Compose and send the client notification email. If you have an email template set up for return delivery, select it here to send in just a couple of clicks. If this is your first delivery, write the email and save it as a template before sending so you can reuse it for future clients.

🏃‍➡️ The Client Experience

When the delivery email arrives, the client clicks the same link they've used throughout the engagement. From their portal they can:

  • Review and approve their completed tax return.
  • E-sign any required forms.
  • Download K-1s for distribution to shareholders.
  • View estimated payment vouchers with instructions on what to do and when.

Truss will automatically send the client reminders at the appropriate payment due dates throughout the year so nothing falls through the cracks. You can learn more in our Quick Guide to Completing Your Return article.
